Cancellation Policy

At the Waitomo Caves Museum and Discovery Centre, we are proud to offer our Education Room and Theatre as unique spaces for meetings, workshops, seminars, community events, and school groups. To ensure a smooth booking experience and the respectful use of our facilities, please take note of the following policies. Bookings and Payment All bookings must be confirmed in writing, and are only secured once a confirmation has been sent and full payment (or an agreed deposit) has been received. In some cases, a bond may be required to cover potential damages or additional cleaning. Payments are accepted in New Zealand Dollars (NZD) via secure providers including Stripe, PayPal, or Wix Payments. Hire Fees and Duration Hire fees are charged hourly or daily according to our current price list. Please allow sufficient time for both setup and pack-down within your booking period, as overtime fees apply if the room is not vacated on time. Cancellations and Refunds Cancellations made more than 7 days prior to your booking are eligible for a full refund. If cancelled within 7 days, a 50% cancellation fee applies, and no refunds are issued for cancellations made within 48 hours. Should the Museum be required to cancel due to operational reasons or emergencies, we will provide a full refund or offer to reschedule. Room Use and Conduct The hirer is responsible for the conduct of all attendees. Our spaces must be treated respectfully and left clean and tidy after use. Smoking, vaping, and alcohol are not permitted. Additional cleaning fees may be charged if required. Equipment and Technical Use Tables and chairs are included in the hire. Audio-visual equipment in the theatre must be requested in advance and may carry additional fees. The hirer is liable for any damage caused to facilities or equipment during the hire period. Health and Safety All emergency exits must remain unobstructed, and the hirer is responsible for ensuring attendees are aware of evacuation procedures. Children must be supervised at all times. Liability The Waitomo Caves Museum and Discovery Centre accepts no responsibility for personal injury, loss, or damage to property during events. The hirer indemnifies the Museum against any claims arising from the use of the facility. General We reserve the right to decline or cancel bookings at our discretion.
